Operations Specialist (BREG)

We are an established real estate law firm with offices across California. Our San Diego office is looking for an Operations Specialist to join our fast-paced team. If chosen as the successful candidate, you will be responsible for providing administrative support to the Business and Real Estate practice group, ensuring smooth operation of the legal management team and contributing to the overall efficiency and effectiveness of the department.

Compensation:

$27-$35/hour DOE

Responsibilities:

 Provide comprehensive administrative support to the BREG Management Team.

  • Manage calendars, schedule meetings, and coordinate travel arrangements.
  • Prepare and edit correspondence, reports, policies and procedures.
  • Handle confidential information with discretion.
  • Coordinate and prepare materials for meetings and presentations.
  • Assist in the planning and execution of special projects and initiatives.
  • Track project progress and ensure timely completion of deliverables.
  • Collaborate with team members to improve workflow and efficiency.
  • Oversee office operations, including supply management and vendor relations.
  • Ensure the office environment is organized and conducive to productivity.
  • Maintain office policies and procedures.
  • Assist with the preparation of new hires and the onboarding process.
  • Support performance evaluation processes and employee development initiatives.
  • Help maintain a positive and inclusive work culture.
  • Assists with the coordination of celebrations.
  • Perform other administrative tasks as needed by the BREG management team.

Qualifications:

We are looking for candidates with the following qualifications:

  • 2+ years in administrative assistant or office manager role
  • Strong organizational skills and ability to multi-task
  • Ability to organize high-volume workload, establish priorities, and maintain excellent interpersonal relations and communications with attorneys and staff
  • High attention to detail and sense of urgency
  • Typing speed of 50+ wpm
  • Knowledge of basic office equipment and procedures (copiers, fax machine, scanner, filing)
  • Versatile computer skills including Microsoft Office – specifically Excel
  • High emotional IQ and ability to build strong relationships at all levels

The following qualifications are preferred:

  • Previous experience working in a law firm environment
  • Legal process knowledge
  • Ability to identify and analyze complex issues and problems in management areas
  • Knowledge of ProLaw or other case management system
  • Experience using NetDocuments

Schedule:

Position is full-time at 40 hours/week. Our business hours are 8:30am-5:30pm Monday-Thursday, 8:30am-5:00pm Friday.

We currently offer an in-office/hybrid work model for select positions within the Firm. New hire employees who are offered a hybrid schedule will complete their onboarding and training in-office as deemed necessary for the position by the firm before transitioning to a hybrid schedule, subject to approval by their supervisor.
